About the Role
We are seeking a proactive and highly organized Office Manager to play a key role in ensuring the smooth operation of our company’s daily activities. This role is perfect for someone who embodies a can-do spirit, enthusiasm, and a genuine passion for creating a positive and engaging workplace environment.
The Office Manager will manage office logistics, build and maintain strong relationships with suppliers, and take the lead in organizing both corporate and social internal events. This person will also collaborate with our group partners, handling travel arrangements and supporting HR initiatives to enhance employee engagement and satisfaction. While the primary focus is on company-wide operations, occasional support to the CEO may be required for specific tasks to ensure seamless executive operations.
Responsibilities:
Office & Administrative Management:
- Correspondence Management: Manage all internal and external communications, including emails, phone calls, and postal services, ensuring a professional and efficient flow of information.
- Office Supplies Management: Keep the office well-stocked, organized, and running smoothly by managing supplies, equipment, and vendor relationships.
- Supplier Relations: Serve as the main point of contact for suppliers, negotiate contracts, manage orders, and ensure the timely delivery of goods and services.
- Administrative Support: Provide general administrative assistance to support the efficient operation of all departments within the company.
Event Coordination & Employee Engagement:
- Corporate Events: Plan and execute corporate events such as Town Halls and business meetings, overseeing logistics, catering, and communication.
- Employee Engagement Activities: Collaborate with the HR Manager to organize team-building activities, monthly employee events, and celebrations to cultivate a positive and inclusive workplace culture.
- Creativity & Enthusiasm: Introduce fresh ideas and maintain a high level of enthusiasm when planning engaging and memorable events that generate positive employee feedback.
Travel & Visitor Management:
- Group Collaboration: Coordinate with group partners, managing bookings and travel arrangements for their visits.
- Visitor Logistics: Ensure all aspects of visitors’ stays are managed professionally, including accommodation, transportation, and on-site support.
Support to CEO:
- Executive Assistance: While not a primary responsibility, the Office Manager may occasionally assist the CEO with executive tasks, including:
- Agenda Management: Organizing and managing the CEO’s calendar, scheduling meetings, and appointments.
- Travel Arrangements: Coordinating logistics such as flights, accommodation, and transportation.
- Staff Coordination: Managing coordination with support staff, including drivers and external service providers.
- Correspondence Handling: Managing specific communications on behalf of the CEO, ensuring professionalism and confidentiality.
This support is intended to maintain operational efficiency and is an occasional aspect of the role, communicated transparently from the start.

- Previous experience as an Office Manager, Administrative Coordinator, or in a similar role managing office operations and organizing events.
- Proven ability to coordinate with suppliers and manage logistics effectively.
